Who These Terms Apply To

The TaskForceOne service is supplied by ROVYN (ABN 85 581 687 451) (ROVYN, we, us).

These User Terms apply when an organisation (the Customer) invites you to use its TaskForceOne account as an administrator, manager, employee, contractor, or other authorised user. By accessing the service, you agree to these User Terms, the Acceptable Use Policy, and the relevant parts of our Product-Specific Terms.

The Customer has a separate Customer Subscription Agreement with ROVYN. Your employment or engagement is with the Customer, not ROVYN.

The Customer Controls the Organisation Account

The Customer decides who may access its account, assigns roles and permissions, configures features, and controls workforce records. Its authorised administrators may add, correct, export, archive, or restrict access to information in accordance with their permissions and applicable law. The Customer may suspend or remove your access, including when your employment or engagement ends.

Questions or disputes about a roster, leave decision, timesheet, pay, workplace policy, performance matter, or employment decision should be raised with the Customer.

Your Account Responsibilities

  • Provide accurate information and keep it reasonably current.
  • Keep passwords, kiosk credentials, and authentication methods secure and do not share individual accounts.
  • Use only the organisation accounts and features you are authorised to access.
  • Promptly report suspected account compromise to the Customer and ROVYN.
  • Follow the Customer's workplace, privacy, device, record-keeping, and surveillance policies.

Location-Enabled Clock-In

If the Customer enables GPS clock-in, ROVYN may collect a precise location point when you submit a location-enabled clock-in. The record may include latitude, longitude, device-reported accuracy, and distance from the configured workplace. ROVYN does not use this feature to make an employment decision; the Customer decides how it is configured and how the resulting record is used.

The Customer is responsible for giving required workplace-surveillance notices and obtaining any required agreement or consent. If device permission is unavailable or refused, location-enabled clock-in may not work and you should contact the Customer about an alternative process.

Messages, Files, and Workplace Records

Use messaging and uploads for authorised workplace purposes. Do not treat TaskForceOne messaging as a personal or confidential channel outside the Customer's control. Messages, attachments, rosters, time records, signatures, requirement documents, and audit history may remain in the Customer's account after your access ends or your identity is de-identified.

Do not upload medical records, payment-card numbers, government identity documents, or other highly sensitive material unless the Customer has confirmed that the particular workflow is authorised and appropriate.

Software Outputs

Warnings, cost estimates, award calculations, suggested actions, and automated workflow results depend on Customer settings and supplied data. They may be incomplete or incorrect and are not legal, tax, payroll, industrial-relations, or professional advice. Significant employment and pay decisions require review by an authorised person.

Privacy

Our Privacy Policy explains how ROVYN handles personal information through TaskForceOne. For workforce information controlled by the Customer, first direct access, correction, and deletion requests to an organisation administrator.

Our Rights and Your Content

You retain any rights you have in content you create. You authorise ROVYN and the Customer to process that content as needed to operate the organisation account, provide support, secure the service, and comply with law. ROVYN owns the TaskForceOne service, software, interfaces, and branding; no ownership rights are transferred to you.

Suspension and Ending Access

ROVYN may restrict access where reasonably necessary to address a material breach, security incident, unlawful activity, non-payment by the Customer, or risk to the service or other users. Where practical, we will limit the restriction to the affected account or feature and give the Customer notice.

Mandatory Rights and Governing Law

Nothing in these User Terms excludes rights that cannot lawfully be excluded. These User Terms are governed by the laws of New South Wales, Australia, subject to any mandatory law that applies where you are located.

Changes and Contact
