Purpose and Scope

This policy applies to every Customer and authorised user of TaskForceOne. It forms part of the Customer Subscription Agreement and User Terms.

Lawful and Respectful Use

You must not use TaskForceOne to:

  • break a law, facilitate unlawful workplace surveillance, or infringe privacy, confidentiality, intellectual-property, or other rights;
  • harass, discriminate against, threaten, intimidate, exploit, or defame another person;
  • publish or send illegal, fraudulent, deceptive, obscene, or seriously harmful material;
  • impersonate another person, falsify a clock event or workforce record, or misrepresent authority;
  • send spam, unsolicited marketing, or communications unrelated to an authorised workplace purpose; or
  • upload personal information, credentials, recordings, or documents without the authority and notices required to do so.

Security and Platform Integrity

You must not:

  • share an individual account, bypass permissions, or access another organisation without authorisation;
  • introduce malware or attempt to obtain credentials, tokens, encryption keys, or non-public data;
  • probe, scan, penetration-test, or exploit the service except under our Responsible Disclosure Policy;
  • interfere with availability, impose unreasonable load, evade rate limits, or conduct denial-of-service activity;
  • scrape, copy, frame, mirror, reverse engineer, or derive source code except to the limited extent the law expressly permits;
  • use bots or automated access except through an interface or integration ROVYN authorises; or
  • resell, sublicense, lease, or provide the service to an unrelated third party without written permission.

Unsupported Sensitive Data

Unless ROVYN has expressly agreed otherwise in writing for a specific workflow, do not use free-text messages or general file uploads to store medical records, payment-card data, passwords, private encryption keys, or information whose loss would create an exceptional risk to a person. Customers remain responsible for assessing whether staff requirement documents and signatures are necessary and lawful.

Enforcement

We may investigate suspected misuse and may remove content or restrict an affected account, integration, or feature where reasonably necessary to protect people, data, or the service. Except in urgent security or legal circumstances, we will give the Customer notice and a reasonable opportunity to respond or remedy a material breach. We will consider context, severity, recurrence, and whether a narrower restriction is available.

Customers must reasonably cooperate with investigations and preserve relevant records. We may report suspected unlawful conduct where required by law.

Reporting Misuse

Report suspected misuse to [email protected]. Include the organisation, affected account or content, dates, and enough detail for us to investigate.
